The successful candidate will work closely with the warehouse and sales teams to ensure the company’s Key Performance Indicators (KPIs) are met, and most importantly, that every customer leaves impressed.
Experience in managing Shopify and Takealot Marketplace portals is essential for this role. Proficiency with other systems such as Dear Systems, Xero Accounting, and PrimeTime couriers or similar platforms is also necessary.
Qualifications Requirements:
- Minimum of 2 years of working experience in administration.
- Familiarity with shipping and courier logistics, terminology, and processes.
- Strong understanding of systems and stock management with efficient processing of orders.
- Excellent analytical and problem-solving skills.
- High proficiency in communication and interpersonal skills.
- Robust project management abilities.
- Accurate data entry capabilities and exceptional attention to detail.
- Stellar written and verbal communication skills.
- Experience working with an accounting software package.

Responsibilities:
- Ensure all customer orders are accurately processed and prepared for the warehouse team to pack and dispatch on time.
- Oversee the correct processing of all sales orders across each sales channel and marketplace.
- Coordinate and integrate work across various company systems and sales channels.
- Handle the complete processing of marketplace orders, especially for Takealot and Makro, which includes managing all necessary paperwork.
- Manage eCommerce orders daily, ensuring timely packing and shipment by the warehouse team.
- Supervise and streamline logistics with couriers responsible for product delivery to customers.
- Regularly produce and review various reports and statistics (including IN/OUT status reports and dead stock reports).
- Verify customer and order information for accuracy, cross-checking it against previously obtained data as needed.
- Inspect inventory records to determine the availability of requested merchandise.
- Respond to customer queries when necessary.
- Prepare invoices and shipping documents accurately.
- Review orders for completeness according to established reporting procedures and forward incomplete orders for further processing.
- Maintain organized filing of all documents required for order fulfillment.
- Inspect outgoing orders to ensure compliance with customer specifications and satisfaction.
- Adjust inventory records to reflect the movement of products accurately.
- Notify customers about order information, such as unit prices, shipping dates, or anticipated delays, as necessary.
- Prepare and deliver weekly and monthly reports essential for seamless business operations.
- Consistently provide feedback and updates on sales reporting aspects.
- Monitor customer feedback using various tools and take immediate action when required.
- Offer weekly and monthly overview reports with insights on customer order KPIs.
- Attend daily operational standup meetings to ensure smooth team coordination.
