Job description: Our client in the Property industry is currently looking for a Legal Recoveries Administrator, in Fourways, Sandton.Responsibilities:
- Review legal age analysis:
- The legal recoveries administrator is responsible for updating the monthly legal master file, complex age analyses, and statements.
- Determine which accounts should be pursued internally, and which should be handed over to the attorneys.
- Discuss arrear status with owners:
- Advise owners in arrears of the status of their account and encourage them to settle arrears amounts. The internal database (Firefly) must be always kept up to date and any outstanding information must be provided to owners.
- Manage attorneys:
- Handover information must be provided to attorneys and ensure that attorneys are actively pursuing outstanding accounts.
- Attorney invoices must be approved and monthly reports from attorneys must be monitored.
- Provide information to internal clients:
- The legal recoveries administrator must provide relationship managers with the status of the collections process for their respective schemes.
- Internal clients must be provided with the legal status of collections, or any other information requested. Confer with departmental colleagues on specific challenges.
- Functional Goals:
- Review legal age analysis.
- Legal master file up to date at month end.
- Accounts in arrears are flagged and allocated internally or to attorneys.
- Discuss arrears status with owners:
- All owners with accounts in arrears notified of their status and options.
- All accounts handed over to attorneys are handed over with complete information and documents.
- Manage Attorneys:
- Timeous handover of clients to attorneys.
- Attorneys provided with correct and up to date information.
- Attorney cases followed up with regularly.
- Attorney invoices approved.
- Provide information to internal clients:
- Relationship managers provide status updates for complex units timeously.
- Report to Head of Department:
- Communicate updates on challenges and ongoing issues to Head of Department daily.
- Monthly collections totals report submitted by month-end.
Requirements:
- Grade 12 – High School Diploma or GED.
- Legal or Pre-Legal Certificate/Diploma (Degree is advantageous)
- Property Management qualification (CPMD or Paddocks) is advantageous.
- Minimum of 2 years’ experience in legal debt collection process.
- Knowledge of relevant legal processes and systems.
- Experience in property management will be advantageous.
- Proficient in Microsoft Office Suite.
- Experience in negotiating with debtors.
