Job description: Events / Booking Coordinator Restaurants – Cape TownFull job descriptionJob Overview:Pigalle Restaurant, a renowned establishment exceptional known for its stylish ambiance, live entertainment, and cuisine, is seeking a skilled Bookings and Events Co-ordinator to join our team.The Bookings and Events Co-ordinator will be responsible for managing all aspects of the restaurant’s reservations, events, and bookings, ensuring a seamless and exceptional experience for our customers.Duties and Responsibilities:1. Reservation Management:- Coordinate and manage all incoming reservation requests, both online and through other channels.- Respond to customer inquiries and provide information about the restaurant’s policies, menu, and availability.- Maintain a comprehensive reservation system, ensuring accurate and up-to-date records.- Liaise with the kitchen and front-of-house teams to ensure smooth execution of reservations.- Monitor and optimize reservation processes to enhance customer satisfaction.-2. Events and Bookings Coordination:- Collaborate with customers to plan and execute private events, parties, and special functions at the restaurant.- Coordinate with the culinary, hospitality, and technical teams to ensure the successful delivery of events.- Manage event logistics, including menu planning, staffing, equipment, and decor.- Maintain a calendar of upcoming events and bookings, ensuring effective communication and coordination among all stakeholders.- Provide post-event follow-up and gather feedback to continuously improve the event planning and execution process.3. Customer Relationship Management:- Foster strong relationships with regular and VIP customers, anticipating their needs and preferences.- Handle customer inquiries, complaints, and feedback in a professional and timely manner.- Collaborate with the marketing team to develop and implement customer retention strategies.- Contribute to the overall enhancement of the customer experience at Pigalle Restaurant.- Respond to all email inquiries within 8 hours of receipt:o Provide prompt and professional responses to customer inquiries regarding bookings, events, and reservations.o Ensure all customer requests are addressed in a timely and efficient manner.- Close off and finalize customer inquiries with accurate invoices within 24 hours:o Prepare and issue accurate invoices to customers, reflecting the final details of their bookings or events.o Ensure all financial information is correctly recorded and updated in the system.4. Work closely with the Back-office administrator:- Collaborate with the Back-office administrator to ensure accurate customer invoices are raised.- Provide the necessary information and documentation to the Back-office team to facilitate the invoicing process.5. Maintain and update accurate booking records:- Meticulously record and update all booking information, including customer details, event specifications, and any changes or modifications.- Ensure the booking system is consistently maintained and up-to-date.6. Attention to detail:- Demonstrate exceptional attention to detail to ensure accuracy in all bookings, invoicing, and record-keeping.- Identify and resolve any discrepancies or errors in a timely manner.7. Maintain and uphold the restaurant image, name, and culture:- Represent Pigalle Restaurant with professionalism and a commitment to delivering exceptional customer service.- Contribute to the overall positive image and reputation of the restaurant.8. Compliance and controls – record-keeping:- Ensure all records and documentation are maintained accurately and in compliance with relevant policy and regulations.- Assist in the preparation of reports as required.9. General Record-Keeping and Administration:- Undertake general administrative tasks, such as filing, document organization, and data entry.- Provide support to the management team as needed.Required Skills:- Excellent communication and interpersonal skills, both verbal and written- Strong customer service orientation and the ability to handle high-pressure situations- Proficient in using reservation management and event planning software- Ability to multitask and prioritize effectively- Exceptional organizational and time management skills- Familiarity with the hospitality industry and an understanding of food and beverage operations- Proficiency in Microsoft Office suite (Excel, Word, Outlook)Preferred Skills:- Experience in a similar role within a high-end restaurant or hospitality establishment- Knowledge of local event planning and catering resources- Familiarity with social media platforms and their use in event promotionQualifications:- Qualification in Hospitality Management, Event Planning, or a related field would be added advantage- Minimum 2-3 years of experience in a bookings and events coordination role, preferably in the restaurant industry- Proven track record of successful event planning and execution- Certification in event planning or customer service management is a plusJob Type: Full-timePay: R15 000,00 – R25 000,00 per month
