Your next exciting career opportunity starts here!As an Administrator, you will play a very important role in supporting the team with a range of administrative tasks and provide Personal Assistant duties to the Director as and when required.Key Responsibilities:Quoting & Invoicing:
- Assist in preparing and issuing quotations for clients, ensuring they are accurate and reflect the project scope.
- Manage invoicing processes, ensuring all invoices are generated and sent in a timely manner.
- Coordinate with the finance team to ensure all payment transactions are processed accurately and follow up on any outstanding payments.
Personal Assistant Duties:
- Provide administrative support to the Director, including managing schedules, organizing meetings, and preparing agendas.
- Coordinate travel arrangements, including transportation, accommodation, and itineraries for the Director and other senior management.
- Handle correspondence, including emails, phone calls, and mail, ensuring prompt responses and follow-up where needed.
- Assist with personal tasks as required, maintaining a professional and discreet approach to sensitive information.
Data Capturing:
- Accurately capture, record, and organize data related to ongoing projects, ensuring it is easily accessible for the team.
- Draft and proofread internal and external communications, including reports, project updates, and official documents.
Reception Duties:
- Greet guests in a friendly and professional manner, offering assistance as needed.
- Manage the front desk, handling phone calls, inquiries, and directing them to the appropriate departments or team members.
- Keep the reception area organized and welcoming for all visitors.
Skills:
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Highly meticulous
- Strong ability to follow instructions
Qualifications:
- Matric (Non-negotiable)
Remuneration: R12 000 – R15 000 (Dependent on experience)**Please note that only shortlisted candidates will be contacted**
Expected salary: R12000 – 15000 per month
