Job description: Job Description :A sophisticated art and design studio and gallery is looking for a dedicated and experienced Office Manager to take charge of all office management and IT support needs, as well as coordinate events, diaries and travel. This role will suit someone who is comfortable managing several deliverables simultaneously, and who has a calm and organised approach to work.Responsibilities:Office and Site Management
- Maintain stock lists and distribution
- Ensure accurate inventory and manage cleaning staff
- Handle building maintenance and repairs
- Manage service providers for leased properties
- Assist with health and safety management
- Oversee security and artist studios
- Facilitate access permits and waste management
- Manage team contact list
IT Support
- Oversee IT services and maintain asset registers
- Manage IT hardware and software, troubleshooting for team members
- Coordinate insurance coverage and claims
- Manage onboarding and offboarding processes for IT systems
- Handle Microsoft Admin Portal and facilitate IT asset procurement
- Coordinate and troubleshoot phone and internet connectivity issues
- Supervise printer supplies and maintenance contracts
- Manage Microsoft Office and SharePoint setup and support including access permissions, signatures, distribution lists
- Manage software licensing and payments
Event Project Management
- Plan and quote for events related to exhibitions, activations, projects, and functions
- Plan and execute events, including event set up, AV set, and management
- Manage event assistant staff
- Liaise with suppliers for project coordination, research, and source new suppliers
- Implement quality control measures for project success
- Manage budgets and ensure cost-effective execution
- Develop and maintain comprehensive timelines for events
- Manage catering and event equipment inventory, procurement, and rental
- Facilitate the procurement and stock management of sponsorship beverages and consumables
- Oversee the inventory of audio-visual equipment
Travel Bookings and Calendar Management
- Manage team local and international travel requirements
- Collaborate with the Executive Coordinator to oversee team travel arrangements
- Manage flights, transfers, visas, insurance, and accommodation for staff and artists
- Ensure seamless coordination and adherence to travel itineraries
- Update digital and physical calendars
- Liaise with relevant parties regarding any changes to events, fairs, fair logistics, and travel dates for comprehensive scheduling
Requirements
- High IT proficiency (key requirement)
- High level of organisation, and attention to detail
- Good time management skills
- Ability to prioritise tasks
- Team management skills
- Will be required to collaborate with multiple other teams within the organisation for efficient coordination
