Job Title: Assistant Service Manager
Job Description:
Job Summary
We are seeking an adept and qualified Assistant Service Manager to support our current Service Manager in managing the daily operations and responsibilities within our organization. The ideal candidate will possess relevant qualifications and substantial experience in mechanical engineering and the HVAC (heating ventilation air-conditioning) industry. This position requires a professional who has proven capabilities in managing technical staff effectively.
Key Responsibilities
Task Coordination and Scheduling
- Assist the Service Manager in performing daily, weekly, monthly, and annual tasks as outlined, ensuring seamless operations.
- Oversee Technical Staff:
- Ensure all technical staff are fully aware of their task schedules and service expectations.
- Follow up on the monthly schedule and manage changes daily.
- Check test and inspection sheets to ensure work is completed as per schedule.
- Ensure timely delivery of stock (such as filters) to sites as requested by technical staff, managing costs effectively for the company and clients.
- Schedule incoming survey requirements from customers and the sales department.
Customer Relations and Follow-Up
- Customer Interaction:
- Follow up on customer calls and concerns promptly, ensuring efficient remedial actions as circumstances dictate.
- Hold weekly meetings with technical staff to track work progress and amend schedules when necessary.
- Handle overages, report them to customers, and ensure the sales department quotes accordingly.
Service Level Agreements (SLAs) and Reporting
- SLA Management:
- Perform monthly actions as per the department’s 48 SLAs.
- Plan site visits and manage data entry for all filter inspection works.
- Generate, review, and deliver monthly reports to customers.
- Plan six-monthly tests and manage their scheduling and execution as agreed with customers.
Test and Work Sheet Management
- Documentation:
- Develop new monthly reports, inspection work sheets, and six-monthly test reports.
- Maintain and improve existing documentation.
- Ensure proper filing of all test work sheets and inspection work sheets.
- Manage electronic filing of all test and service reports for ad hoc orders.
Technical Labor and Equipment Management
- Annual Tasks:
- Oversee technical labor and test instrumentation to ensure planned work is executed for all customer SLAs and ad hoc testing orders.
- Maintain calibration history and schedule for all instruments.
- Coordinate technical labor training to ensure skilled service is provided.
- Schedule leave for technical staff to ensure continuous customer service.
Additional Orders and Surveys
- Assist Sales:
- Manage and schedule surveys and additional orders as requested by the sales department.
- Ensure adherence to customer-approved quality standards for additional orders.
- Maintain proper documentation for all test work related to additional orders.
Interim Responsibilities
- Substitute Role:
- Act as the interim Service Manager during their absence, undertaking full responsibility for the technical department.
- Oversee technical staff and operations across Pretoria (PTA), Durban (DBN), and Cape Town (CT).
Client and Stakeholder Management
- Client Relations:
- Manage relations with local clients and those based in neighbouring African countries, requiring occasional travel.
- Interact with various stakeholders, from tradesmen to senior management, ensuring effective communication and quick issue resolution.
Additional Duties
- After-Hours Service:
- Be prepared to work after hours and during weekends to troubleshoot and oversee on-site issues.
- Responsible for obtaining stock and equipment from stores after hours when necessary.
Qualifications and Experience
- Educational Background:
- Bachelor’s degree in Mechanical Engineering or a related field, or be currently pursuing a degree/diploma in a similar discipline.
- Professional Experience:
- Minimum of 2 – 3 years of practical experience in the HVAC sector.
- Demonstrated experience or potential in managing technical staff.
- Technical Skills:
- Proficiency in Microsoft Windows, Word, Excel, and Outlook.
Additional Requirements
- Driver’s License:
- Valid Code EB driver’s license (for trailer towing) with no endorsements.
- Residency:
- Reside close to the company’s location to effectively manage staff and retrieve stock/equipment.
- PC Literacy:
- Fully proficient with PC operations.
